Administrative Officer Job Summary

Our organization is looking for an organized, outgoing Administrative Officer. In this position, you will assist with a variety of clerical and administrative duties. These tasks include greeting clients, answering phones, taking messages, managing email and mail correspondence, calendar management, and maintaining office supplies. As the first person that clients and visitors see as they walk through our door, a composed and professional appearance must be maintained at all times.

Duties and Responsibilities

Reception duties including answering phones and taking messages

Managing correspondence both email and by post

Greeting clients and visitors

Setting up meeting rooms (virtual and in person)

Help maintain company office calendar (meeting room reservations)

Data entry and filing

Admin support for online organizational management applications

Inventory and office supply management

Other duties as assigned

Requirements and Qualifications

High school diploma or GED certificate

Administrative or clerical experience a plus

Computer proficiency, including experience with Microsoft Suite

Effective organizational and time management skills

Nature of Work and Typical Duties but are not limited to:

· Answering phone call when needed

· Checking room reservations and preparing them for guests

· Tracking inventory supplies and reordering whenever necessary

· Inspection rooms, and other areas to ensure staff members keep them clean and presentable

· Checking rooms to make sure that guests leave after a fire alarm or other emergency

· Aiding Condo Owners and guest on the property

· The liaison between maintenance and housekeeping

· Entering Reservation into our Software Program

· Racking sales leads and following up regularly

· Preparation of quotes and invoices, processing payments and reconciling accounts

· Promoting sales and marketing promotions and participating in company social media

Skills and Attributes:

· Strong verbal and written communication skills

· Multitask oriented and well organized with the ability to prioritize multiple tasks

· Computer Skills including Microsoft Office, PMS systems

· Understanding of numbers and the ability to calculate invoices

· Valid Driver's License

We are seeking an Entry Level Accounting Technician. You will require accounting certification, diploma or degree in finance or accounting and will assist with data entry and reconciling accounts and various other assigned duties.

Job Description:

This position is for an entry level accounting technician, that will keep financial records and establish, maintain, and balance various accounts using manual and computerized bookkeeping systems. Post journal entries and reconcile accounts, prepare trial balance of books, maintain general legers, and prepare financial statements.


· Accounts Payable and Receivable Working Knowledge.

· Analytical and problem-solving skills.

· Time Management.

· Ability to multi-task.

· Work in a collaborative team environment.

· Monthly Reconciliation and procedures with QuickBooks.

· Generates weekly/monthly financial statements detailing status of receivable and payable statuses.

· Do electronic reports and follow up with managers.

· Excellent communication skills in English verbally and written.

· Ability to interpret and analyze financial data/invoices/receipts.

· Accountant ethics and laws.

· Managing all data and company information confidential and in high regard of policies.

· Other accounting duties assigned as needed/required.

Qualifications:

· Completion of a college program in accounting, bookkeeping or a related field.

· Bookkeeping or accounting courses, along with several years of financial or accounting clerk
